Student Accounts Representative

Summary: Goldey-Beacom College is seeking a new team member to work as a Student Accounts Representative. The holder of this position will assist with the accounts receivable, accounts payable, general ledger functions, and other Business Office operations, including providing positive customer service to students and parents.

Department: Business Office

Qualifications: Associate’s degree with at least two (2) years of work experience in accounting-related activities in a professional setting.

Essential Functions:

Focus time, effort, and energy on the following:

Customer Service

  • Assist students in securing schedules at the beginning of each semester. Provide positive and helpful customer service to students and parents (FERPA) on the telephone, email, and in-person at the Business Office.
  • Assist in keeping student financial records and accounts up-to-date and organized.
  • Provide excellent customer service and possess problem resolution skills.
  • Receipt payments received daily.

Accounts Receivable

  • Assist the department in the billing and collections of student account receivables.
  • Act as intermediary with collection agency regarding past due student accounts.
  • Determine accounts ready for collection. Prepare and submit files for outside collections.  Maintain communication with collection agencies.  Send collection letters to borrowers with past due balances for payments before sending them to an outside collection agency.
  • Keep abreast of any changes in federal and state law regarding student loans and collections through research, newsletters, conferences, etc.
  • Handle student account related inquiries on all levels.
  • Process third-party billing, including preparation and posting of invoices, reviewing student accounts for payments, conducting follow-up on outstanding invoices.
  • Monitor for timely payment of student and vendor accounts.
  • Responsible for counting money, accurately handling financial transactions, issuing receipts, and conducting payment reconciliation.
  • Analyze student accounts for balances, unapplied payments, financial aid awards etc.
  • Proactively contact students by phone, email, text, etc., to encourage them to create a means of paying their bills.

Other Responsibilities

  • Participate in College-wide student outreach initiatives, including registration week, new student orientation, and others as assigned.
  • Complete and enforce escheat of monies by state.
  • Participate in interactive, on-site meetings during normal business hours.
  • Enhance student outreach from the Business Office.
  • Assist with general ledger processes.
  • Perform all duties as assigned on the task list found on SharePoint.
  • Lift, as needed, up to 35 pounds.

Salary Range: $45,000 – $50,000

Business Affairs Representative

Summary: Goldey-Beacom College is accepting applications for the full-time position of Business Affairs Representative.  The holder of this staff position will assist with the accounts payable, general ledger functions, and other Business Office operations, including providing positive customer service to students and parents. These tasks require a working knowledge of appropriate systems and college policies and regulations.

This position has access to sensitive information and is expected to handle such information confidentially with integrity and professionalism.  This position reports to the Director of Business Affairs and participates in departmental and college-wide activities and events as directed and necessary.

Department: Business Office

Qualifications: Associate’s degree with at least two (2) years of work experience in accounting-related activities in a professional setting.

Essential Functions:

Focus time, effort, and energy on the following:

Customer Service

  • Assist students in securing schedule at the beginning of each semester.  Provide positive and helpful customer service to students and parents on the telephone as well as at the counter of the Business Office.
  • Assist in keeping student financial records and accounts up-to-date and organized.
  • Manage deposits, cash collections, posting of cash and sending invoices and statements.

Transact/ Clover Liaison

  • Serve as the main liaison to students for the Transact System for Student Lightning Card balances.
  • Serve as the main liaison to Campus Store associates for the Clover System.
  • Perform tasks associated with the Transact and Clover System.

Accounts Payable

  • Assist the Senior Accountant with the following processes:
    • Receive and review incoming invoices, ensuring accuracy and completeness of information. Code and enter invoices into the accounting system accurately and promptly.
    • Prepare and process payment batches for approval, including checks, electronic transfers, and ACH payments. Verify payment amounts and ensure timely and accurate payments to vendors.
    • Review and process employee expense reports, ensuring compliance with company policies and guidelines. Verify expense documentation and reconcile with credit card statements as required.
    • Support weekly check runs
    • Collect data for new vendors to help determine 1099 status
    • Assist with appropriate record keeping of assets and stage of life.

General Ledger

  • Assist in the maintenance the general ledger and ensure all transactions are accurately recorded.
  • Prepare journal entries and maintenance of account reconciliations.

Business Operations

  • Complete monthly audits for departments with cash on hand.
  • Support Academic Affairs in the new online bookstore process.
  • All other duties as assigned.

The ideal candidate will possess a passion for fostering student engagement with the visual arts and must hold at least one of the following advanced degrees: an MA in art education, art, or art history; an MFA in art; or a PhD in art history.
